MILAN URBAN FOOD POLICY PACT

Privacy notice pursuant to art. 13 of Regulation (EU) 2016/679

The Municipality of Milan, approved the Milan Urban Food Policy Pact (MUFPP) in 2015 with Municipal Council Resolution no. 25. It is an international agreement of Mayors, a network of more than 200 cities that work together toward more sustainable and equitable food systems. The municipality of Milan promoted its constitution and it’s one of the founder of this network.

The Milan Urban Food Policy Pact is a concrete working tool for cities. It is composed by a preamble and a Framework for Action listing 37 recommended actions, clustered in 6 categories. For each recommended action there are specific indicators to monitor progresses in implementing the Pact.

Milan Urban Food Policy Pact (MUFPP or “we”) is committed to processing personal data in a transparent, fair and lawful manner in compliance with the General Data Protection Regulation (“GDPR” EU 2016/679) and to honouring the rights of data subjects. This policy explains how MUFPP processes  personal data and  rights of subjects  in relation to that data. If we make changes to this privacy policy that affect how we handle your data, it will be updated and made available on our website.

Scope of this policy

Pursuant to article 13 of Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, data subjects are informed that the processing of data provided directly to MUFPP occurs when:

•             You use MUFPP websites (also other mufpp domains)

•             We provide services to you

•             You request information from MUFPP or provide information to MUFPP

•             You provide material to MUFFP

•             You attend events or webinars or participate in projects hosted by MUFPP

•             You are added to our mailing lists

Data processing is carried out in compliance with fundamental rights and freedoms and is based on principles of lawfulness, fairness, transparency and protection of confidentiality.

The data collected

The type of personal data we typically collect includes your name, contact details such as email address, phone number and address, and your organisation and job title. When you use our website we may collect your IP address, your actions on our website. We may ask you to provide additional personal data such as your nationality where it is necessary. We may collect specific information related to an event, such as your dietary requirements, which we will only hold for the purpose of delivering the event.

How we collect the data

We collect your personal data from you directly, and indirectly from your organisation or other organisations and members of the network we work with. We may also receive information from third parties, and from publicly available sources.

How we use your information

MUFFP uses your personal data for different purposes, depending on the reason you have given it to us or we have otherwise collected it.

Our offices

If you visit our offices, your data may be entered into our databases to make a record of your visit.

Our websites

If you use our websites, we may use your data to personalise and improve your experience of our websites. Where you submit content via our websites, we will use your data to process that content or application.

Our network and stakeholders

If you are a member of our network or part of a group of stakeholders we work with, we will use your data to communicate with you about your work with us through email marketing newsletters, where appropriate and according to the objective of the MUFPP.

Suppliers

If you provide services to us, we will use your data so we can both fulfil our obligations under the contract between us.

Events and webinars

If you register to attend an event (whether in person or online) we will use your data to provide the event to you and to follow up with you after the event with relevant information.

If you participate in an online event which is held over audio or video conferencing, and you make your name and/or your image available to view, we may use this data to make a recording of the event. We may use that recording for purposes consistent with our charitable objectives, including sharing the recording with other participants in the event and making the recording available to the public via our website and social media channels.

Newsletters

If you sign up to receive MUFFP newsletter, we will use your data to send you the newsletter.

If you are part of certain programmes or initiatives, we may use your data to send you tailored newsletters on those programmes or initiatives.

Nature of the processing

Authorisation for the processing of personal data for the above-mentioned purposes is not mandatory but necessary in order to allow the MUFPP to proceed with the transmission of news, information, invitations, publications, institutional communications and/or newsletters relating to its activities. Any refusal will make it impossible for the Data Controller to fulfil the above purposes.

Data communication and dissemination

Data processing will be carried out by the natural persons in charge of the relevant procedure and designated as Data processors. Data collected shall not be disclosed to third parties, provided that the data may be known by persons involved in the management procedure of the activities duly identified and possibly designated as Data Processors.

Data transfer to a third country and/or an international organisation

Data could be sent to members of the MUFPP to countries outside the European Union or EEA (European Economic Area) according to the goals and objectives of the MUFPP. We may also share your information with other members of the network where you have consented to us doing so. We will take all steps reasonably necessary to ensure that your personal data is transferred, stored and processed securely. Any such transferral, storage or processing will be undertaken in accordance with the GDPR.

Data storage period or criteria for determining the period

Personal data, where collected, will be archived and stored in the public interest in relation to activities carried out within the MUFPP.

We will only hold your information for as long as necessary for the purposes for which it was collected, or if we are required to hold it for operational or legal purposes. We will periodically review the information we hold to determine whether it is still necessary for us to be holding it for those purposes. If we cannot establish whether we have heard from you in three years, we will dispose of your information securely by erasing it from our systems.

Data subjects may exercise the rights provided for by art. 15 and following of EU Regulation 2016/679 and in particular the right to access their personal data, to request rectification or restriction, updating if incomplete or erroneous and erasure if the conditions are met, as well as to oppose the processing by addressing to:

Finally, we inform that the data subjects, if they believe that the processing of their personal data is in violation of the provisions of EU Regulation 2016/679 (Article 77), have the right to lodge a complaint with the Supervisory Authority (www.garanteprivacy.it) or to take the appropriate legal actions (Article 79 of the Regulation).
